Privacy and cookie notice

Last updated: 30 August 2026

White Horse Wine Tours is the controller of the personal information described in this notice. You can contact us at contact@whitehorsewinetours.co.uk.

The information we collect

When you use our contact form, we collect your name, email address, subject and message. When you make a booking or buy a gift card, our booking provider, Bokun, collects the information needed to complete and manage your order. This may include your name, contact details, booking details and payment-related information.

We store your analytics consent choice in your browser. If you accept analytics, Google Analytics collects information about visits and interactions, such as pages viewed, approximate location, device and browser information, and referral source. We do not use this website data for automated decision-making or profiling that has legal or similarly significant effects.

Why we use it

We use contact-form information to respond to enquiries and take steps at your request before a booking. We also have a legitimate interest in managing genuine enquiries and preventing misuse of the form.

We use booking information to provide the tour or gift card you purchase and to meet our legal and accounting obligations. We use Google Analytics only with your consent, to understand how the website is used and improve it. You can withdraw that consent at any time using Cookie settings in the footer.

Providing contact details is optional, but we cannot reply to an enquiry or administer a booking without the information needed for it.

Who receives the information

We use service providers that process information for us:

  • Formspree delivers messages submitted through the contact form.
  • Bokun, a Tripadvisor company, provides booking and gift-card services.
  • Cloudflare provides website hosting, delivery and security services.
  • Google provides Google Analytics, but only after you accept analytics cookies.

Some providers may process information outside the UK. Where this happens, the provider is responsible for using a lawful transfer mechanism, such as an adequacy regulation or approved contractual safeguards. Contact us if you would like more information about the safeguards relevant to your information.

We do not sell personal information and do not use contact-form details for marketing unless we ask separately.

How long we keep it

  • General enquiries are kept for up to 12 months after the last correspondence.
  • Booking and accounting records are kept for up to six years where needed for tax, legal or contractual purposes.
  • Google Analytics user and event data is configured to be retained for 14 months.
  • Your analytics consent choice is stored in your browser for six months.

We may keep information for longer if required to establish, exercise or defend legal claims.

Cookies and browser storage

The website works without optional analytics cookies. We ask before loading Google Analytics.

Bokun’s booking service is loaded when you choose to open a booking or gift-card tool. Bokun may then use storage that is necessary to provide that service. Its handling of information is also covered by Bokun’s own privacy information shown during booking.

Rejecting optional cookies does not affect your ability to browse the site or make a booking. If you withdraw consent, we disable Analytics and remove the Analytics cookies available to this site; this does not affect processing that took place before withdrawal.

Your data protection rights

Depending on the circumstances, you may have rights to ask us for access to your personal information, correction, deletion, restriction, or transfer. You may also object to processing based on legitimate interests and withdraw consent at any time. These rights are not absolute, and we may need to keep certain records where the law requires it.

You have the right to object to our use of your personal information where we rely on legitimate interests. Tell us about your circumstances and we will stop unless we have compelling legitimate grounds to continue or need the information for legal claims.

Contact contact@whitehorsewinetours.co.uk to exercise a right or raise a concern. We will normally respond within one month.

You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator. We would appreciate the chance to address your concern first.

We will update this page when our practices or services change. The date at the top shows when it was last reviewed.
